Evolve tennis academy t&cs

1. Health & Medical Consent

I confirm that I/my child/children are in a fit condition to participate in all booked events and programs. If I am uncertain of my/my child’s fitness, I will consult a medical practitioner prior to participation.

I consent to receiving medical treatment, including ambulance transportation, if deemed necessary by a coach during or after participation.

I have disclosed all relevant medical or physical conditions, including allergies and injuries, in my enrolment details and have provided an emergency contact who is available during and after the event.

 


2. Liability & Conduct

Evolve Tennis Academy is not responsible for any lost personal possessions.

While our coaches implement safety precautions (including first aid, staff training, and safety instructions), all participants must act responsibly.

My registration is non-transferable. Any attempt to transfer my booking to another person may result in cancellation without refund and voiding of insurance coverage.

Participants are covered under Tennis Australia’s Public Liability, Products Liability, Property Damage, and Professional Indemnity insurance through Sportcover Australia Pty Ltd. However, I acknowledge that coverage may not include all injuries, losses, or damages.

All Evolve Tennis coaches:

  • Are insured through Sportcover.

  • Hold a valid NSW Working With Children Check.

     


3. Marketing & Communications

I consent to receiving e-marketing, postal information, promotions, and newsletters from Evolve Tennis Academy. I can unsubscribe at any time. My contact details will not be shared with third parties.

 


4. Program Participation & Membership

I grant permission for myself/my child to participate in all relevant coaching services, competitions, inter-club challenges, and affiliated excursions.

I accept membership to Evolve Tennis Academy, Roseville Park, and Kooroora Tennis Club.

I agree to abide by Tennis Australia’s competition rules and etiquette.

I permit my child to receive small rewards (e.g., prizes, ice blocks, sweets) during programs. Any allergy concerns must be communicated in advance.

 


5. Risk Acknowledgment & Indemnity

I acknowledge that participation involves inherent risks, including potential injury.

I confirm that:

  • The personal details I provide are accurate.

  • I have the authority as a parent/guardian to agree to these terms.

  • I will indemnify Evolve Tennis Academy against any losses arising from breaches of these terms.

     


6. Shuttle Bus & Supervision Services

  • Shuttle bus services operate Monday to Friday during the term. Bookings must be made via our website or email.

  • If a child will not be using the shuttle bus on a booked day, notification is required at evolvetennis@evolvetennisacademy.com.

Supervision is available until 5:30 PM, Monday to Friday. Notification of absence is required via email or phone.

 


8. Conduct & Disciplinary Policy

Any inappropriate or unlawful behavior, including property damage, offensive language, bullying, or discriminatory conduct, will result in immediate membership cancellation. No refunds will be provided.

Any costs for damages or clean-up will be the responsibility of the parent/guardian

Hotshots Advancement

All Hotshot Students will receive a detailed Report Card at the end of the term (usually week 9 or 10)

Payment & Enrolment Terms

  • All term fees are based on NSW school terms. Evolve Tennis reserves the right to change the duration of a term, but notification will be made in our termly newsletter or via our website news.

  • All Fees / Invoices are emailed the day prior to the term beginning & have a due date (usually 2 weeks into the term). We respectfully request that all payments are made by the due date; otherwise, a late fee will apply.

  • Payment details are attached to all invoices. Our payment provider is ‘Payrix’ and credit card charges apply. To avoid these, please use our bank details attached on your invoice.

  • Term fees are a fixed price and will only be adjusted if starting mid-term or under strict circumstances such as extreme medical conditions.

  • Evolve Tennis Academy reserves the right to change or increase prices as necessary. Please be aware that some term prices may vary depending on whether the school term is 9, 10, or 11 weeks.

  • Once a booking has been made (whether online, via email, or over the phone), if for some reason the standard of the class is not suitable, Evolve Tennis Academy holds the right to change or amend it to a more suitable option.

  • Refunds & pulling out MID-TERM from classes, squads, or groups is not permitted. However, make-ups are available throughout the term (but will not be rolled over to the next term).

  • Whether a child or adult books into a ‘group’ program at Evolve Tennis Academy, this is considered a ‘term booking’, and thus a full-term fee must be paid as quoted on the invoice. Pulling out mid-term (unless a serious injury occurs) and taking the spot from another possible paying customer is not possible.

  • Make-up classes and squads are available for sessions missed due to wet weather or serious injuries (such as broken bones, with proof via a medical certificate) in accordance with our wet weather policy below. Unfortunately, make-ups cannot be offered for holidays, personal illness, or similar circumstances.

  • Sunrise Adult Camp Bookings are locked in once payment has been made. This is a very popular program with limited spots, and a strict coach-to-student ratio is maintained. Any cancellations or changes will not be permitted. Credit may be sought for serious injury (where a Doctor’s Certificate is presented).

  • Re-enrolment works on a simple roll-over process for the following term, ensuring our loyal clients & players don’t lose their time slots. A re-enrolment email will be sent out in week 8/9 of the current term for the following term. Simply follow the email instructions for all re-enrolments.

 

Image Consent

When you sign up to a junior or senior coaching program at Evolve Tennis Academy, you are providing consent to allow your image to be used on our Social Media platforms and/or Website. These images will only be used for the sole purpose of advancing Evolve Tennis Academy exposure in a tennis related manner. Feel free to email us if you have concerns regarding this evolvetennis@evolvetennisacademy

Private Coaching

  • There is a 12-hour minimum cancellation policy for all private lessons. If you are unable to attend your scheduled private lesson time for any reason, you must provide at least 12 hours’ notice to your coach.

  • If the 12-hour timeframe is not met, the FULL lesson fee will be charged.

  • If the weather is uncertain before your lesson, your private coach will contact you directly regarding court conditions. The final decision on playability will be at the coach’s discretion.

  • Private lessons may only be shared by a maximum of 3 students. For each additional student, an hourly increase of $20.00 will be applicable.

Wet Weather Policy

  • If classes are cancelled due to wet weather, you will be notified by your coach PRIOR to the lesson via SMS.

  • In the event of wet weather:

    • All Hotshot/Junior classes & squads are permitted ONE (1) make-up per term.

    • Adult Make-Up Classes are strictly TWO (2) per term, which must be re-organised directly with your coach.

  • Make-ups must be arranged with the coach conducting the lesson.

  • If you are unable to attend a make-up on a different day of the week, you may attend a full morning at Camp during the school holidays (must be confirmed with your coach).

  • Strictly no refunds or roll-over credits to the following term.
